How we use AI to manage contracts and claims.
When we win a new project to manage a contract or prepare a claim, the first thing a client does is send us thousands of documents, including contracts and correspondence.
There are four main problems:
The documents are filed in obscure folder structures.
The file names don’t follow a standard format.
The files are often scanned and not searchable.
Finding information and creating summaries is slow.
In the past, we followed a very manual process of creating spreadsheets to act as directories summarizing the documents; we reorganized the folder structures to follow our standard internal folder hierarchies; and we printed thousands of documents before the team started to read them, create summaries, timelines of events, and other tasks.
Thanks to AI, we started building internal automated workflows that:
Convert scanned PDFs into searchable PDFs.
Create structured databases of documents.
Create timelines of events.
Allow our team to search documents with keyword search, semantic search and metadata search.
These tools will allow our teams to multiply their productivity and spend more time thinking about solutions to problems instead of searching for information.
The tools we’re building can also be extended to clients and other partners collaborating on a project, thus eliminating the duplication of effort to organize and find information.
